Crescent HRMS
Privacy Policy

Crescent HRMS is the internal HR system of the Crescent group, run by Crown Developers LLP. This page explains, in plain language, what information the system keeps about you, why, and what you can ask us to do with it.
1.Who this covers
This policy covers employees and contractors of the Crescent group who use Crescent HRMS on the web or in the Crescent HRMS mobile app. It is an internal tool for staff. It is not offered to the public and does not collect information from anyone who is not part of the organisation.
2.What we collect, and why
Identity and employment data
Your name, phone number, email, role, department and site. We need these to run everyday HR processes: attendance, leave, payroll inputs, tasks and letters.
Face data
A face template (a set of numbers that describes your face, not a picture) created once when you enrol, and a photo captured at each attendance punch. These exist only to verify that it is you punching in or out. Photos and templates are stored on our servers in India. They are never shared with third parties and never used for anything other than attendance verification and audit.
Location at punch time
GPS coordinates and their accuracy, captured at the moment you punch, to confirm you are at an approved site. Location is only read when you punch. The app never tracks you in the background.
Device information
App version, platform (Android or iOS) and a push-notification token. These let us deliver notifications and tell you when an app update is available.
Records you create
Attendance, leave requests, EOD work logs, tasks, IT tickets and reimbursement vouchers, along with the files you attach to them.
3.Permissions the app asks for
Camera
Used only to enrol your face and to capture the photo at each punch. The camera is never used at any other time.
Location
Used only at the moment you punch, to check you are at an approved site.
Notifications
Used to tell you about new tasks, leave decisions, EOD reminders and app updates. You can turn these off in your phone settings at any time.
4.Where your data lives
Your data is stored on servers operated by Crown Developers LLP in India. We use a small number of outside services, each for one specific job:
MSG91
Delivers one-time passwords and WhatsApp notifications to your phone number.
Google Firebase Cloud Messaging
Delivers push notifications to the mobile app. It receives only your device token and the notification text. It never receives face or location data.
Sign-in with your company Google account on the web.
5.How long we keep it
Attendance photos and attendance, leave and other work records are kept for as long as company policy and applicable law require. Your face template is deleted when you ask HR to remove it, or when your employment ends. You can ask HR to re-enrol your face, or to delete your template, at any time.
6.Your rights
You can ask to see the information we hold about you, ask us to correct anything that is wrong, or ask us to delete data we no longer need. Send your request to HR or email asad@crescentconstructions.co.in. We will respond within 30 days. Some records, such as attendance and payroll history, may have to be kept for a legal minimum period even after a deletion request; we will tell you if that applies.
7.Security
All traffic between your device and our servers is encrypted. Access to data inside the system is limited by role, so people only see what their job requires. Sensitive actions, such as approving leave, changing attendance and viewing punch photos, are recorded in an audit log.
8.Children
Crescent HRMS is used only by employees and contractors. It is not intended for, and does not knowingly collect information from, anyone under 18.
9.Changes to this policy
If we change how the system handles your data, we will update this page and the dates at the top, and let you know through the app or by email when the change is significant.
